Church Announcement Automation: How to Set It and Forget It

Every church has the same weekly ritual: someone gathers the announcements, drops them into an email, tries to make it sound a little different from last week’s, and hits send before Sunday. It’s not hard work — it’s just relentless. It happens every single week, forever, and it almost always lands on the person who already has the least time.

Church announcement automation fixes that. Set your announcements once, choose a schedule, and let the system send them for you. Fresh wording is not automatic in every mode. Manual, the usual starting point, resends the same text. AI + Approval and Full AI rewrite the hook, details, and call to action. Here’s how it works and what to look for.

The Problem With Manual Church Announcements

Sending church announcements by hand looks small on any given week. The problem is the compounding.

  • It’s a weekly grind that never ends. Christmas, summer, the week everyone’s sick — the announcements still have to go out. There’s no “done.”
  • It burns out volunteers. The person managing communication is usually also running the sound board, coordinating volunteers, and planning next Sunday. “Rewrite the announcement email” quietly falls to the bottom of the list, and eventually something gets missed.
  • The copy goes stale. When you’re in a hurry, you copy last week’s email and change a date. Do that for a month and your congregation starts skimming past a message they’ve seen four times. People skip it, and the announcements that matter get ignored along with the ones that don’t.

None of this is a skills problem. It’s a capacity problem — and capacity is exactly what automation gives back.

What Is Church Announcement Automation?

Church announcement automation means your recurring announcements go out on a set schedule without someone manually assembling and sending each one. You define what you’re promoting and when, and the system handles the sending.

It’s worth being precise here, because “automation” gets thrown around loosely. General-purpose email tools like Mailchimp offer drip campaigns — a pre-written sequence of emails that fire based on when someone subscribed. That’s built for marketing funnels: welcome series, abandoned carts, onboarding sequences. It assumes each subscriber moves through the same linear path.

Churches don’t work that way. Your congregation isn’t a funnel. You’re not nurturing leads toward a purchase — you’re keeping a community informed about what’s happening this week. You need the same announcements to reach everyone on a recurring rhythm, refreshed as events come and go. That’s a different shape of problem, and it’s why announcement automation built for churches looks different from a marketing drip campaign.

How AI Makes Automation Better

Here’s the catch with plain automation: if you schedule the same announcement to send every week, you’ve just automated the staleness problem. Now the identical email goes out on autopilot and people tune it out even faster.

The fix is to keep the facts identical while refreshing the language around them. The event name, date, location, and sign-up link stay exactly the same — but the hook, the details, and the call to action can be rewritten so each send does not have to feel identical. Doing that by hand is the tedious part nobody has time for. AI modes do that part.

The important thing is that you stay in control of how hands-on you are. There are three levels:

  • Manual — the default. Announcements resend exactly as you wrote them. No AI. Full control, best when the precise wording matters.
  • AI + Approval — previews are generated for sends within about 48 hours. The AI rewrites the hook, details, and call to action, and an admin approves each one before it sends. If nobody approves in time, the email is held and admins are notified, and it never auto-sends. This is the sweet spot for most churches: you get the time savings and a final human check.
  • Full AI — Full AI rewrites the hook, details, and call to action and sends on schedule. Truly hands-off, for teams who’ve watched it work and trust the output.

We go deeper on when to use each in our guide to AI church announcements. The point is that automation and oversight aren’t a trade-off — you choose the balance.

What to Look for in a Church Announcement Automation Tool

Not every tool that can automate email is built for how churches actually communicate. When you’re evaluating options, look for:

  • Simple scheduling. You should be able to set a recurring send (say, every Wednesday morning) in a couple of clicks — not build a flowchart.
  • Automatic start and end dates. Each announcement should have a promotion window. It starts appearing in your sends on the start date and automatically stops after the end date, so you’re never promoting last month’s event or manually pulling expired content.
  • AI rewriting. As above — the difference between automation that helps and automation that just repeats a stale email.
  • Preview before send. Especially in AI + Approval mode, you want to see exactly what’s going out and tweak it before it does.
  • Contact management in the same place. If your list lives in one tool and your sending in another, the two lists drift apart. Look for a tool that holds your contacts, your announcements, and your sending together.
  • Planning Center import. If you already manage your people in Planning Center, the tool should let you import them — first name, last name, and primary email — so you’re not re-typing new people. It is a one-way import you run yourself: existing contacts should be skipped, not overwritten, and later edits in Planning Center should not update Hey Church on their own.

If a tool nails scheduling and AI rewriting but makes you manage contacts in a spreadsheet, you’ve solved half the problem. For a broader comparison of the options, see our roundup of the best church email software.

How Hey Church Does It

We built Hey Church specifically for this. Here’s the whole flow:

  1. Create an announcement. A short guided wizard walks you through it: a title, the details, a start and end date for its promotion window, and optionally an image or a link. Images are center-cropped to 16:9 (1200×675). JPEG, PNG, and WebP files up to 10MB are accepted. That’s the only real writing you do.
  2. Set your schedule. Choose weekly, every 2 weeks, or monthly — for example, every Wednesday at 9am. Your active announcements are gathered into each send. There is no daily option. You can send later.
  3. Choose your automation level. Manual is the default and resends the same text. AI + Approval and Full AI rewrite the hook, details, and call to action. On AI + Approval, previews are generated for sends within about 48 hours, and you approve before it sends. If nobody approves in time, the email is held and admins are notified, and it never auto-sends. Full AI rewrites and sends on schedule. You can preview the email before it goes out.
  4. Done, with one caveat. Active announcements go out on your schedule. Manual repeats your wording. The AI modes refresh the hook, details, and call to action. New event? Add an announcement with its dates and it can flow into the next send. Event’s over? It drops out on its end date without you touching anything. A send goes to every contact who has consented to email. Hey Church does not send by group, segment, or tag. You can preview the email before it sends.

The writing you’d normally do every week — assembling, rewording, sending — collapses into a one-time setup plus the occasional new announcement. If you want to start from proven copy, our church announcement email templates give you a running start on the announcements themselves.

Stop Spending Your Week on Church Emails

The best communication system is the one that keeps happening even when your team is slammed. Manual sending depends on someone remembering, having time, and mustering the energy to make it sound fresh — every single week. Automation removes all three dependencies while keeping the personal, human quality of your announcements intact.

Set it once. Let Manual repeat your wording, or let an AI mode rewrite the hook, details, and call to action. The Free plan includes 250 contacts and 500 emails a month.
